Case Monitoring Program

The Academy of Mary Immaculate endeavours to promote a healthy, supportive and secure environment for all students and to raise awareness of what makes students resilient, to develop strategies to reduce vulnerabilities and increase coping skills.

The emotional well being of young people is central to the ethos of the school. In practice, the College endeavours to promote the Catholic philosophy and to provide an environment in which the girls develop spiritually, physically, emotionally and intellectually, according to the Gospel of Jesus Christ.

Virtually any child at some stage in their education could find themselves at risk. "Students at educational risk" are those students not achieving their major learning outcomes, and thus their full potential. They are students whose performance or rate of progress has changed dramatically, those who are underachieving and those not participating in schooling.

The Process:

Every student’s progress will be reviewed at the end of each semester and parents will be informed by letter if the College feels that there is a need for their daughter to be included in the Case Monitoring Program. A student may also be added to the Program mid Semester after discussion between the Year Level Co-ordinator, Head of Department and/or Subject teacher and the student’s parents.

Case Monitoring Students will be withdrawn from the program if there is significant progress in their academic endeavours over the course of a year (Parents will be informed by letter). Parents may contact the College on 9419 3044 and speak to their daughter’s Subject Teacher for information regarding Academic Progress or the Year Level Co-ordinator for other areas of concern.

Students fall into 1 of 2 categories:

  • Students being monitored by the Student Support Team - these students will be monitored for Academic Progress in all subjects as well as issues related to Pastoral Care i.e. attendance, behaviour , family and peer issues etc. Members of the Student Support Team will contact the parents.

  • Students being monitored by the Heads of Department and the Subject Teacher - these students will be monitored on a subject by subject basis. Each Head of Department, in consultation with the relevant subject teacher/s, will determine the list of students requiring monitoring and this will be done “in house” by the subject teacher. Parents will be contacted by the subject teacher.

Timing and Frequency of Reporting

Parents of students in the Case Monitoring Program will be contacted on a regular basis to receive a verbal report on their daughter's progress. This is in addition to the formal reporting process of Written Reports (Interim, Semester 1 and Semester 2) and Parent / Teacher Interviews (Interim and Term 3) that are available to every student. The timeline is as follows:

  • Progress Report (verbal) in week 5 of term 1 (Case Monitoring Students only)

  • Interim Report (written) in week 4 of term 2 (All Students)

  • Parent Teacher Interviews in week 6 of term 2 (All Students)

  • Semester 1 Report (written) at the end of Semester 1 (All Students)

  • Parent Teacher Interviews in week 3 of term 3 (VCE Students only)

  • Progress Report (verbal) in Week 5 of term 3 for Years 7 to 10 (Case Monitoring Students only)

  • Parent Teacher Interviews in week 9 of term 3 (Year 7 to 10 Students only)

  • Progress Report (verbal) in Week 3 of term 4 for Years 7 to 11 (Case Monitoring Students only)

  • Semester 2 Report at the end of Semester 2 (All Students)
